Agere Adds IPS Digital Workflow to Improve Accounts Payable

Agere Systems is a unit of LSI Corporation, a leading provider of innovative silicon, systems and software technologies. Its headquarters are in Pennsylvania, but the company's accounts payable operation resides half a world way in Thailand. Since 2002, the company has relied on ImageMailboxSM service from IPS to route incoming bills to its Thai staff. ImageMailbox captures incoming documents at the point of entry - the mailroom - and converts them into digital images for electronic routing within the organization.

In Thailand, however, the traffic on this digital highway was taking an abrupt detour. Thai staff printed out vendor bills by the hundreds of thousands and routed them manually for approval. While Agere System was able to increase mail-handling productivity and reduce shipping costs using ImageMailbox, there was still a big opportunity to further streamline the process.

The company recognized that opportunity, but the cost of programming a customized ERP solution was more than they could justify. Then Agere discovered IPS Payables WorkflowSM, an online solution providing automatic, rules-based routing of vendor bills at a fraction of the cost of ERP customization. IPS added Payables Workflow to the client's ImageMailbox application, and soon Agere's 500 individual AP approvers were able to call up, review and approve vendor bills for payment through a standard Web browser with a few clicks of the mouse. So impressed was David Salzman, Global Controller for Agere Systems, that "I've come to regard IPS services as worthy for consideration across the corporation."

IPS Business Development Manager Eric Labiak has been named President of the Garden State Chapter of AIIM, the enterprise content management association. He heads a Chapter Board committed to assisting in the educational, professional and interpersonal growth of members in New Jersey. The key goals on his agenda are to continue the movement toward an electronic support service for members while also introducing new educational and networking events that bring New Jersey members face to face. With a background in industrial engineering, Eric is an experienced sales, marketing and project management professional who has helped IPS introduce a number of new services as well as overseeing digital conversions for clients ranging from the American Red Cross and the United Nations to Thomson Financial and Affinity Healthcare. Thomson Financial Benefits from Fifteen Years of IPS Experience

In 2005, Thomson Financial decided to consolidate its contract management operations from several offices and streamline the processes though a Documentum Content Management system. The complex integration project was a success - but one more step was required to deliver on the full promise of paperless content management. Thomson needed to migrate a large volume of existing contracts - the so-called "backfile" - into the new system. After a brief pilot project using in-house equipment, the company decided to turn to an outside vendor.

Based on recommendations from Documentum, Thomson carefully evaluated several vendors, and ultimately chose IPS. As Document Procurement Analyst Kimberly Cutler at Thomson Financial put it, "The price, quality, OCR process, delivery time, security and document control provided the most comprehensive solution for us."

IPS began its relationship with Thomson Financial in the fall of 2005. This spring, IPS completed its fifth backfile migration project for the company. Checking in with Kimberly Cutler again, we asked how she feels about IPS now. "Great", she said. Thomson's staff especially appreciates the OCR functionality introduced by IPS, which provides the ability to do text-based searching for contracts, and is seeking ways to further leverage this capability in the future.
