Document imaging should be simple. There are
only three basic steps in document imaging:
Unfortunately, everything from document condition and
workflow problems to technology and personnel issues can complicate
things. The result? A document imaging process that costs too much,
is too slow and creates continuing personnel and technology headaches.
Keeping It Simple
IPS document imaging services are designed to eliminate
complexity, speed execution, contain costs, and keep you from being
trapped in a technology box. They include:
- Analysis. We use a disciplined, step-by-step
process to analyze your document imaging requirements and ensure they
are met.
- Document Prep. Your incoming material is logged
into our document imaging tracking system the moment we receive it,
and carefully prepped by trained technicians to ensure the highest-quality
image.
- Imaging. Document scanning is performed on high-speed
equipment and saved to any of the leading document imaging formats,
then returned to folders or boxes, logged out and returned to their
point of origin.
- Indexing. Image files are indexed using your
criteria, such as date, social security number, account number or
geographical data, to organize the document images into knowledge
you can use. After document imaging, the digital images are coded
with searchable data. IPS can typically achieve significant cost and
time savings by working with database records you already maintain.
- Document Conversion. For existing digital images,
IPS provides document conversion services that enable files created
for one vendor's imaging system to be used with other vendors' equipment.
Document conversion removes potential roadblocks to new system installations
or upgrades.
- Archiving. Depending on your needs, images and
indexes are delivered electronically to you, your information systems
department, or to IPS's own ImageServ online archive.
